A Procurement Checklist for Mettler-Toledo Equipment: What I Learned Managing Our Lab Budget

If you're about to spend budget on precision measurement equipment—pH meters, pipettes, thermocouple calibrators, dial indicators, thermal cameras—this checklist is for you. I've managed procurement for a mid-size specialty chemical company for six years, and I've tracked roughly $180,000 in lab equipment spending. That number isn't huge by corporate standards, but it's enough to make you pay attention to hidden costs. This is the checklist I wish I'd had back in 2019.

Actually, the first version of it didn't exist. I just approved quotes and hoped. Then I audited our 2023 spending and found that about 12% of our equipment overruns came from line items I didn't catch before signing. So I built this list. It works best when you're comparing quotes for capital equipment or replacing benchtop instruments. It's not for one-off consumables. There are six steps, and the last one is the one most people skip.

1. Define the measurement need before you ask for quotes

Don't start with a brand. Start with what you're actually measuring. I know that sounds obvious, but I've watched three lab managers request a specific model before writing down the measurement range they actually needed.

One of our lab managers asked for a 'SevenExcellence' because a colleague had one. When I asked what she was measuring, she listed three sample types with a pH range from 2 to 11, and then mentioned she needed GLP-compliant data logging. A single-module workstation wouldn't have handled it. The modular version cost more, but it was the right version.

Before you call for quotes, write this down:

  • Parameter: pH, temperature, weight, dimension, volume, thermal radiation?
  • Range: minimum and maximum expected values
  • Accuracy: the tolerance your process can live with
  • Environment: temperature, humidity, chemical exposure, vibration
  • Data requirements: logging, audit trails, or GLP compliance?

Prevention over cure: five minutes writing the requirement down can save you from buying a module you'll never use.

2. Ask for line-item quotes, not a lump sum

A single number on a quote is a red flag. I don't approve a quote unless I can see the breakdown. For anything over $2,000, our policy requires three itemized quotes. That rule came directly from a bad buying decision in 2022.

For Mettler Toledo pipettes, for example, I want to see the pipette body, the calibration certificate, the tip compatibility list, and the service plan as separate lines. Single-channel or multi-channel? Fixed volume or adjustable? It changes the quote by hundreds of dollars.

On the equipment side, check for these line items:

  • Base unit price
  • Electrodes or probes
  • Calibration certificate (this is often separate)
  • Installation and training
  • Shipping and handling
  • Warranty and extended service

I only learned this after ignoring it once. A quote looked cheap until I added the $350 electrode and the $180 calibration certificate the field engineer 'forgot' to mention. That's how a 'competitive' price became 30% more than the other option.

3. Compare total cost of ownership, not sticker price

The lowest quote is rarely the cheapest option. Total cost of ownership includes the purchase price plus accessories, shipping, installation, training, calibration, consumables, repair risk, and downtime. It's basically a trade-off between price and certainty.

Here's a real example from our lab. Two quotes for a benchtop pH meter:

Option 1 was $2,800. It included the meter, a general-purpose electrode, a stand, and a calibration certificate. Option 2 was $2,450. The meter alone. Electrode, stand, and certificate added $640. Shipping was $120.

Option 2 looked 12% cheaper on the quote, but ended up about 22% more expensive once the required pieces were added. That kind of hidden-cost gap is way more common than people think.

I'll also say this: the numbers sometimes point one way, and my gut says another. I had a case where a cheaper calibrator had a vague 'factory calibration' line. My gut said it wouldn't pass an audit. It didn't. We paid for a NIST-traceable calibration afterward, and the redo cost more than the savings. Honestly, I'd rather pay a little more for a quote that shows me exactly what I'm getting.

4. Verify calibration and standards before you sign

Precision equipment is only useful if it's traceable. This is where prevention beats correction.

  • For pH meters: make sure you have NIST-traceable buffers and an automatic temperature compensation probe if your samples vary in temperature.
  • For pipettes: performance testing follows ISO 8655 in most labs. If your vendor doesn't mention ISO 8655, ask why.
  • For thermocouple calibrators: if you're looking at a 714B thermocouple calibrator, check the thermocouple types it covers, its accuracy spec, and whether the calibration certificate is NIST-traceable.

A 'factory calibration' line on a quote is not the same as a traceable certificate. If you need it for an audit or a quality event, you won't be able to use the instrument until you have it.

5. Budget for the mounting and accessories people forget

This is the step most procurement checklists miss. I've seen the equipment arrive and then sit on a bench for a week because nobody budgeted for the mounting setup.

Take a magnetic base dial indicator. If you're measuring small mechanical runout or height variation, the indicator is only half the system. You also need a magnetic base, a swivel or arm, and sometimes a riser post. Check the holding force and the stem diameter compatibility before ordering. I once saw a $600 indicator setup delayed by a $60 base that didn't fit the post.

It sounds small, but an extra $200 for a base and arm is a common budget surprise. And it's exactly the kind of 'small' item that creates a purchase order headache later.

Same idea applies to thermal cameras: don't forget a tripod, power adapter, spare battery, and possibly the software license for analysis. The camera can be useless for a site inspection without the right mount and charging setup.

6. Test everything on arrival—and learn how the tech works first

When the equipment lands in receiving, verify it against the purchase order before you put it into service. Test with a known reference standard. Don't wait until the first production run to discover a problem.

For a pH meter, that means calibrating with fresh buffers and measuring a lab control sample. For pipettes, run a gravimetric test (or at least dispense into a calibrated balance) before approving it for routine use. It takes an hour. The rework from a bad batch takes longer.

For thermal imaging, understand what you're buying. Here's how a FLIR thermal camera works: it uses a microbolometer sensor to detect infrared radiation—usually in the long-wave infrared band—and converts that radiation into a temperature reading based on emissivity. Then it maps those temperatures to a visible false-color image.

That emissivity setting matters. If you point a thermal camera at a shiny metal surface and leave emissivity at 0.95, the temperature reading can be off by tens of degrees. Test on a flat, non-reflective surface with a known temperature first. I learned that one the hard way (ugh).

Five minutes of verification beats five days of correction. That's not a slogan; it's a cost calculation.

Common mistakes I still see

  • Buying extra modules before the process is validated. You can always add modules later.
  • Assuming quotes include calibration certificates. They often don't.
  • Ignoring lead times. Expedited calibration costs real money.
  • Skipping the mounting/accessories line until after approval.

To be clear, this checklist worked for us because we're a mid-size B2B chemical company with predictable, quarterly purchasing cycles. If you're a startup buying one instrument on a credit card, you can probably compress it. If you're dealing with regulated production environments, you'll need an even longer version. Your mileage may vary.

The bottom line is simple: check before you buy, and check again when it arrives. I didn't always do that. The first time I skipped the calibration certificate line, it cost us $800 in expedited fees. The second time I skipped mounting accessories, it cost us a week of delay. Checklists aren't exciting. They're the cheapest insurance you can buy.
